Privacy

What we collect, why, who else touches it, and how to take it all back. Written from what the code actually does, so it should match what you see in the app.

Who we are

Greenroom is operated by Daniel Ainsworth, a sole trader based in England and Wales. We decide what happens to your data, which under UK and EU data protection law makes us the controller for it. You can reach us at hello@greenroomready.com.

The short version

  • You speak, we record and transcribe it, and a model listens so it can answer as the counterpart. That is the product working.
  • We keep what you tell us and what you said so the coaching can compound. That is the point of it, and it is also the reason there is a delete button.
  • We never sell your data, and we do not use anything you say to train models.
  • You can download everything we hold at any time, and delete all of it in one click.

What we collect

Your account, from signing up:

  • Your email address and an account id. Your password is held by our sign-in provider, Clerk, and we never see it.

What you tell us when you set up a rehearsal:

  • The role, company, job posting, round, and who is interviewing you, if you say.
  • For a negotiation: the offer, your priorities and your walk-away point.
  • For a talk: your script or outline, and who the audience is.
  • For a hard conversation: the situation, who the other person is, and any message thread you paste in.
  • Your CV, if you upload one. The upload endpoint reads the text and returns it to your browser without storing it. It reaches us only when you create the rehearsal it belongs to.

What the rehearsal itself produces:

  • A casefile: what we found about the company and role, with each claim marked researched or inferred, and the sources we read.
  • A recording of your voice and a transcript of what you said, for every take.
  • A debrief: your scores, the moments it picked out with quotes from what you said, and the one habit it wants you to work on.
  • Drills, your readiness over time, and the model of how you communicate that builds up across rehearsals.
  • If you tell us how the real conversation went afterwards, that too.

Billing:

  • Your plan, how much rehearsal time you have used, and identifiers from Stripe. Card details go straight to Stripe and never reach us.

Naming another person

If you name your interviewer, we search the public web for them and put what we find in your casefile. If you paste a message thread, whatever is in it comes with it. That is processing information about someone who is not you, so please do not paste anything you are not entitled to share, and do not upload confidential documents belonging to an employer. If someone believes we hold information about them and wants it removed, they can write to hello@greenroomready.com and we will deal with it.

Why we are allowed to hold it

Most of it we hold because we cannot deliver the thing you asked for without it: there is no rehearsal without your voice and no coaching without a record of it. That is performance of our contract with you. A smaller amount, such as keeping accounts and preventing abuse, we hold because we have to or because we have a legitimate interest in the service continuing to work.

Some rehearsals touch genuinely personal ground, and anything sensitive in them is there because you chose to put it there. We do not ask for it, we do not require it, and you can delete any single take or the whole account whenever you like.

Who else processes it

These companies handle your data on our behalf, under contract, so we can run the product. They are not allowed to use it for their own purposes.

  • Clerk holds your sign-in and your password.
  • OpenAI is the engine. Your voice is streamed to it live while you rehearse, along with your transcript and what you typed at setup, so the counterpart can answer and the debrief can be written. We are on API terms, which means your content is not used to train their models.
  • Stripe takes payment. We never see your card.
  • Neon hosts the database.
  • Cloudflare R2 stores your recordings.
  • Vercel and Railway host the site and the server.

Some of these are outside the UK and EU, and where they are, transfers rely on the standard contractual protections those providers publish.

Sharing a rehearsal

You can create a public link for a rehearsal. It is off by default, you can revoke it, and anyone with the link can see only the title, the mode, how many takes you did and your readiness scores. Your transcript, your casefile and your debrief are never on it. There is a test that asserts their absence, because that is a promise worth holding in code rather than in a paragraph.

How long we keep it

Recordings of your voice are deleted automatically after 90 days. You can listen back to a moment in your debrief while it is recent, and after that the audio goes. It is the most sensitive thing we hold and the least useful thing to keep. The debrief itself keeps working: the quotes and timestamps are in the transcript, so what disappears is the player, not the coaching.

Everything else we keep until you delete it. A coach that forgets you after ninety days is not the product we are trying to build. That cuts both ways, so the delete button is real and immediate.

When you delete your account we remove every recording from storage and every row from the database, including your rehearsals, casefiles, transcripts, debriefs, drills, the model of how you communicate, and the funnel counts that carried your id. Backups roll off within thirty days. Records we are legally required to keep, such as payment records for tax, stay for as long as the law says.

What you can do

  • Download everything. Account, then Export. It is one JSON file containing the same set that deletion erases, with time-limited links to your recordings.
  • Delete one take from its debrief, or delete everything from Account.
  • Correct anything wrong. Casefiles are editable in the app, and you can write to us about anything else.
  • Object to how we are using it, or ask us to restrict it, by writing to us.

If you think we have handled your data badly, please tell us first so we can fix it. You also have the right to complain to the Information Commissioner’s Office at ico.org.uk, or to the data protection authority where you live.

Cookies, and the one thing we count

We use what the site needs to work: a sign-in session cookie from Clerk, and Stripe’s cookies during checkout. There is no advertising tracking and no third party analytics following you around, which is why there is no cookie banner asking your permission for things we do not do.

We do count one thing, ourselves, with no third party involved: how many people visit, how many sign up, how many start a rehearsal, and how many pay. That is it. A visit sets a random id in a cookie so the same person is not counted twice, and we store no IP address, no browser or device details, no referrer and no record of which pages you looked at. Clear the cookie and you are simply a new number. Once you have an account the counts carry your user id so we can tell signups from visits, which also means they are erased when you delete your account.

Age

Greenroom is for people aged 18 and over. If we learn that an account belongs to someone younger we will delete it.

Changes

If we change this in a way that matters, we will say so by email before it takes effect rather than quietly reposting the page. The terms cover the rest of the arrangement.
